# Receivables setup

> Configure accounts receivable settings for your organization.

The **Accounts Receivable setup** checklist shows what you need to do before invoicing customers and collecting cash. Use the progress counter at the top to track completion.

## Open receivables setup

**1. Go to the checklist**

1. Open **Settings** from **Data & Admin** in the sidebar.
2. Click **Accounts Receivable**, or open **Accounts Receivable** in the sidebar and click the **setup** gear icon.

adorabl opens **Configure Accounts Receivable** with four sections.

## Read the checklist

| Indicator | Meaning |
| - | - |
| Green check | Configured |
| Open circle | To do |
| Gray circle | Optional |

Click a row with an arrow to open the linked screen.

## Sections and what to configure

### Customers and credit

| Item | Action |
| - | - |
| **Customer Groups** | Define inherited payment, delivery, and financial defaults. |
| **Customers** | Add customer records, payment terms, and credit limits. See [Customers](https://www.adorabl.info/accounts-receivable/customers.md). |
| **Terms codes** | Define payment terms (Net 30, 2/10 Net 30, etc.) on the Terms codes screen linked from Finance setup. |

### Configure customer groups

Open **Customer Groups** from the top of **Customers & credit**. Create a group code and name, then set the defaults customers in that group inherit:

* Payment terms and payment method
* Shipping terms and receipt rules
* Accounts receivable, sales, discount, cash, cash discount, and prepayment accounts

You can keep a group active for new assignments or deactivate it without removing existing customer history. Customer-level overrides take precedence over group defaults.

### Invoicing

| Item | Action |
| - | - |
| **Invoice templates and branding** | Confirm logo, footer, and layout before sending invoices. |
| **Recurring billing** | Set up subscription or repeat invoices if you bill on a schedule. See [Recurring billing](https://www.adorabl.info/books/recurring-billing.md). |

### Posting and controls

| Item | Action |
| - | - |
| **Default GL coding by customer category** | Assign default revenue accounts by customer type. |
| **Dimension validation on AR lines** | Require dimensions on invoice lines. See [Dimensions](https://www.adorabl.info/books/setup/dimensions.md). |
| **Period cutoff enforcement** | Block posting to closed periods. See [Fiscal calendar](https://www.adorabl.info/books/setup/fiscal-calendar.md). |
| **Duplicate invoice detection** | Enable checks that flag likely duplicate invoices. |

### Collections and payments

| Item | Action |
| - | - |
| **Dunning / collections cadence** | Set overdue reminder steps. See [Dunning rules](https://www.adorabl.info/accounts-receivable/setup/dunning-rules.md). |
| **Incoming payments** | Record customer payments against open invoices. See [Incoming payments](https://www.adorabl.info/accounts-receivable/incoming-payments.md). |
| **Online pay links** | Send hosted payment pages by email so customers can pay online. See [Incoming payments](https://www.adorabl.info/accounts-receivable/incoming-payments.md). |

## Recommended order

**1. Books foundation**

Complete [Finance setup](https://www.adorabl.info/books/setup/finance-setup.md), [System accounts](https://www.adorabl.info/books/setup/system-accounts.md), and [Fiscal calendar](https://www.adorabl.info/books/setup/fiscal-calendar.md).

**2. Customers and terms**

Configure customer groups, add customers, and confirm terms codes before your first invoice.

**3. Dunning and payments**

Configure collections cadence and confirm how you record incoming payments.

## Example: Trail Ridge Outfitters

Before sending their first wholesale invoice to *Aspen Sports Co.*, Trail Ridge confirms:

* Terms code **NET30** on the customer record
* Default revenue account **4000 · Product Sales** for wholesale customers
* Dunning steps at **3**, **14**, and **30** days past due
* Invoice prefix **INV-** with the next number at **1001** (see [Next numbers](https://www.adorabl.info/admin-and-settings/next-numbers.md))
