# Employees

> Keep an employee master list for assignment and reporting in adorabl.

Employees are master records for the people who work at your organization — used for assignment, ownership, and reporting on records like purchase orders and journal entries. Each employee can have a manager and a default posting account.

> [!NOTE]
>
> Employees are not the same as adorabl **users**. Employee records do not grant a login, portal access, approvals, or expense submission. To invite people who sign in to adorabl, manage users in [Organization settings](https://www.adorabl.info/admin-and-settings/organization-settings.md).

## Prerequisites

* You are signed in and have selected the correct **organization** in the sidebar switcher.
* Optional: [Chart of accounts](https://www.adorabl.info/books/chart-of-accounts.md) is set up if you assign a default posting account to employees.

## Open Employees

**1. Navigate**

1. In the sidebar, open **Data & Admin**.
2. Click **Employees**.

The list shows each employee with their manager, posting account, and status. Use search to find an employee by name, and adjust visible columns from the table settings — your layout is remembered on this device.

## Create an employee

**1. Start a new record**

Click **New employee** on the Employees list. adorabl opens a separate create screen.

**2. Enter details**

| Field | Guidance |
| - | - |
| **Name** | The employee's full name as it should appear on records |
| **Manager** | Optional; pick another employee in the same organization |
| **Posting account** | Optional default GL account used when this employee owns a transaction |
| **Status** | **Active** for current employees; **Inactive** to retire without deleting history |

Manager and posting-account pickers only list values from your organization.

**3. Save**

Click **Save**. adorabl opens the employee's detail record, where you can edit fields inline later.

## Manage existing employees

| Task | How |
| - | - |
| **Find an employee** | Search by name on the list; click the row to open the record |
| **Edit details** | Open the employee → change fields → **Save** |
| **Reassign a manager** | Open the employee → update **Manager** → **Save** |
| **Retire an employee** | Set status to **Inactive** — history remains attached to past records |

> [!TIP]
>
> Add [notes](https://www.adorabl.info/admin-and-settings/master-data.md) to an employee record to capture context like start date or role changes without adding custom fields.

## Troubleshooting

> **Employee list is empty**
>
> Confirm the correct organization is selected. New organizations start with no employees until you create them.

> **A person can't sign in to adorabl**
>
> Employees are records only. Signing in is controlled by **users**, managed in [Organization settings](https://www.adorabl.info/admin-and-settings/organization-settings.md). Creating an employee does not create a login.

> **Manager or posting account isn't in the picker**
>
> Both pickers are scoped to your organization. Create the manager as an employee first, or add the account in [Segments](https://www.adorabl.info/books/setup/chart-of-accounts-setup.md).
