# Next numbers

> Configure transaction numbering sequences for your organization.

Next numbers control the prefix and sequence adorabl assigns to invoices, bills, purchase orders, sales orders, payments, receipts, journal entries, returns, landed cost events, and inventory counts. Set them before your team creates live transactions so IDs stay consistent.

## Open Next numbers

**1. Navigate**

1. Open **Settings** → **Data & Admin**.
2. Click **Next numbers** — or open **Next Numbers** from **Detailed settings** on the Settings hub.

## Add or edit a sequence

| Field | Purpose | Example |
| - | - | - |
| **Transaction type** | The transaction the sequence applies to | `AR Invoice`, `AP Bill`, `Purchase Order` |
| **Prefix** | Text placed before the number | `INV-` |
| **Length** | Digits to pad the number to | `6` → `INV-000001` |
| **Range start** / **Range end** | Bounds for the sequence | `1` to `999999` |
| **Last number** | Most recently assigned number | `1047` |
| **Next number** | What the next transaction receives | `INV-001048` |
| **Active** | Whether the sequence is in use | On |

Check the **Preview** before you click **Add** or **Save**.

## When numbers are assigned

adorabl assigns a number when a transaction leaves draft — when you post a bill, invoice, payment, receipt, or journal entry, submit a sales or purchase order, authorize a [return](https://www.adorabl.info/commerce/returns.md), or confirm a [landed cost](https://www.adorabl.info/purchasing/landed-cost.md) allocation. Until then the record displays a friendly placeholder such as **Draft invoice** or **Draft return** in lists, headers, and search.

This means:

* Abandoned drafts never consume a number, so sequences have no gaps from drafts.
* A posted transaction never returns to draft, so a number is never reused.
* Journal entries created by posting a bill or invoice pick up the final transaction number in their reference once the draft placeholder is replaced.

[Inventory counts](https://www.adorabl.info/products/inventory-counts.md) are the exception: a count sheet receives its `COUNT-` number as soon as it is created, because counters need to refer to the sheet while it is still open.

adorabl seeds every organization with these sequences, among others:

| Transaction type | Default prefix | Assigned when |
| - | - | - |
| Landed Cost | `LC-` | The estimate is confirmed |
| Inventory Count | `COUNT-` | The count sheet is created |
| Return | `RMA-` | The return is authorized |

## Example: Trail Ridge Outfitters

| Transaction type | Prefix | Length | Next number |
| - | - | - | - |
| AR Invoice | `INV-` | 4 | `INV-1052` |
| AP Bill | `BILL-` | 4 | `BILL-8843` |
| Purchase Order | `PO-` | 4 | `PO-4426` |
| Sales Order | `SO-` | 4 | `SO-8821` |
| PO Receipt | `RCPT-` | 4 | `RCPT-1189` |
| Landed Cost | `LC-` | 5 | `LC-00008` |
| Inventory Count | `COUNT-` | 5 | `COUNT-00013` |
| Return | `RMA-` | 5 | `RMA-00008` |

A clerk saves three draft bills and deletes two of them. Only the bill that posts becomes **BILL-8843**; the next number is still `BILL-8844`.

## Troubleshooting

> **A saved record shows Draft instead of a number**
>
> Expected. The number is assigned when the record posts or is submitted. Save as Draft keeps the placeholder.

> **Next numbers aren't applying to new transactions**
>
> Confirm the sequence is **Active**, the transaction type matches the record you are creating, and you are in the correct organization.

> **I need to restart or renumber a sequence**
>
> Edit **Last number** on the sequence. Existing transaction numbers do not change; only new transactions are affected.
