# Bank reconciliation

> Match bank transactions to bills, payments, and journal entries.

Bank Reconciliation is where Trail Ridge Outfitters proves the general ledger matches real bank activity. adorabl imports transactions through Plaid, suggests matches, and surfaces exceptions in a work queue — you confirm the routine and clear what is left.

## Prerequisites

Before you reconcile:

* Connect at least one bank account through Plaid. See [Connect bank accounts](https://www.adorabl.info/banking/connect-bank-accounts.md).
* Map each connected account to its own **Asset** or **Liability** GL account.
* Confirm you have selected the correct **organization** in the sidebar switcher.

## Open Bank Reconciliation

**1. Navigate**

1. In the sidebar, open **Finance**.
2. Click **Bank Reconciliation**.

**2. Select an account**

Use the account switcher at the top to pick the bank or credit card you are reconciling — for example, *Chase Operating ••4521*.

Status pills on each account summarize open work:

| Pill | Meaning |
| - | - |
| **Clear** | No open items on that account |
| **Review** | Unreconciled or needs-review transactions remain |
| **Exceptions** | Items in the exception bucket need attention |
| **Reconciled** | Books tie to the bank for the selected account |

## Tie-out scoreboard

Above the work queue, the **tie-out** strip is a read-only scoreboard for the selected account. It never takes action — it explains the gap so you know what the queue must clear.

| Column | What it shows |
| - | - |
| **Books (GL cash)** | Ledger balance for the mapped GL account |
| **Bank** | Current balance from the connected account (the source-of-truth number) |
| **Difference** | Books minus Bank |

When the difference is zero, adorabl shows **Books tie to the bank — reconciled** with the last reconciled date.

When the difference is not zero, chips break down the gap:

| Chip | Meaning |
| - | - |
| **In bank, not in books** | Imported activity not yet posted or matched |
| **In books, not at bank** | Ledger entries with no matching bank line |
| **In transit** | Timing differences (checks, ACH in flight) |
| **Unexplained** | Residual gap after known buckets |

Work the queue below to drive the difference toward zero.

## Work queue (triage)

The **Work queue** is where all reconciliation action happens. adorabl partitions open bank lines into three tabs:

| Tab | What lands here |
| - | - |
| **Needs a decision** | High-confidence suggestions waiting for your confirm, override, or reject |
| **Exceptions** | Low-confidence matches, duplicates, phantoms, and items that need investigation |
| **Auto-matched** | Already reconciled lines you can review or unreconcile |

The queue header shows counts — for example, *3 to decide · 1 exception · last reconciled 07/15/2026*.

### Needs a decision

Each row shows the bank transaction, a suggested match or GL coding, and confidence signals from prior history.

| Action | When to use it |
| - | - |
| **Confirm** | Accept adorabl's suggestion and reconcile the line |
| **Confirm & memorize** | Confirm and save a rule so future lines with the same merchant descriptor auto-reconcile |
| **Reject** | Send the line to **Exceptions** for manual handling |
| **Override** | Open the GL account picker to code the line to a different account |

When several rows are ready, click **Confirm all suggested** to batch-confirm the entire tab.

### Exceptions

Use this tab for ambiguous matches, duplicate charges, and **phantom** lines — bank activity with no obvious subledger counterpart. Categorize manually, match to an open bill or payment, or exclude lines that are not business transactions.

### Auto-matched

Review what adorabl cleared automatically. Unreconcile a line if it was matched incorrectly — it returns to the open queue.

## Keyboard shortcuts

Click **?** in the work queue header to show shortcuts inline. They apply while focus is in the queue:

| Shortcut | Action |
| - | - |
| `1` / `2` / `3` or `←` / `→` | Switch between **Needs a decision**, **Exceptions**, and **Auto-matched** |
| `↑` / `↓` | Move the active row |
| `Enter` | Confirm the suggestion or open the GL picker on the active row |
| `c` | Code a new GL entry for the active row |
| `Esc` | Close an open picker or memorized-rule dialog |

Inside the **GL account picker**:

| Shortcut | Action |
| - | - |
| `↑` / `↓` | Move the highlighted account |
| `Enter` | Select the highlighted account (click once to lock selection, Enter again to confirm) |
| `Shift` + `Enter` | Confirm and memorize a merchant rule |
| `Esc` | Close the picker |

Inside the **memorize rule** prompt, `Enter` saves and `Esc` cancels.

> [!TIP]
>
> Keyboard-first reconciliation is fastest when you work **Needs a decision** top to bottom — confirm obvious matches, override or reject the rest, then switch to **Exceptions**.

## Memorized rules

Click **Rules** in the page header to open **Memorized rules**. Rules map a merchant descriptor fragment (for example, `AMAZON`) to a GL account so future imports auto-reconcile.

Rules are scoped to your organization. Edit or delete rules that miscategorize recurring suppliers.

## Example: Trail Ridge Outfitters

Trail Ridge reconciles **Chase Operating ••4521** mapped to `1100 · Operating Cash`:

1. **Tie-out** shows a $1,240 difference — $980 in bank-not-books (new card deposits) and \$260 in transit (payroll ACH).
2. **Needs a decision** has four Shopify payout lines. Trail Ridge confirms three and overrides one to `4020 · Marketplace fees`.
3. **Exceptions** has a duplicate \$42.50 SaaS charge. They match one line to the open bill and exclude the duplicate.
4. Tie-out reaches **\$0.00 difference** — reconciled through today.

For their **Chase Ink ••8834** credit card, they reconcile against `2100 · Corporate Credit Card` using the same queue — liability accounts use the same triage flow with liability-appropriate GL suggestions.

## Troubleshooting

> **Tie-out difference will not reach zero**
>
> Check each chip under the scoreboard. Work **In bank, not in books** first — those are usually uncategorized imports. Then clear **In books, not at bank** by matching ledger entries. **Unexplained** means something still does not foot; inspect **Exceptions**.

> **No work queue after connecting**
>
> Confirm every connected account is mapped to a GL account. Unmapped accounts cannot enter the reconciliation queue.

> **Suggestion looks wrong**
>
> Click **Reject** or **Override**. Rejected lines move to **Exceptions**. Consider **Confirm & memorize** only when the merchant pattern is stable.

> **Keyboard shortcuts are not responding**
>
> Click inside the work queue first. Shortcuts do not apply when focus is in a text field outside the queue.
