# Chart of accounts

> Review GL accounts, balances, and account groups from a single consolidated view.

The **Chart of Accounts** screen has two tabs. **Accounts** lists your general ledger from the GL Account perspective — one row per GL Account, with the current balance rolled up across every dimension variant (cost center, region, or any other segment you use). **Reports** turns the same activity into a Trial Balance, Balance Sheet, Profit & Loss, or Cash Flow statement that you can filter, regroup, and share.

## Open the chart of accounts

**1. Navigate**

1. In the sidebar, open **Finance**.
2. Click **Chart of Accounts**.

## What the Accounts tab shows

Each row represents one GL Account. adorabl consolidates every full account code that shares the same GL Account into a single row and sums the balances.

| Column | Meaning |
| - | - |
| **GL Account** | Natural code that identifies the account (for example, `4010`) |
| **Account name** | Descriptive label (for example, `Product revenue`) |
| **Account Group** | Optional grouping used for reporting rollups |
| **Type** | Derived from the GL Account range — Asset, Liability, Equity, Revenue, Cost of Goods, or Expenses |
| **Balance** | Sum of every dimension variant's balance for that GL Account |
| **Status** | **Unmapped** when posted activity exists for an account code that is not defined in your chart — the balance is still shown so nothing is silently dropped |

Balances within a small rounding tolerance display as `0`, so accounts that net to zero across dimensions do not show a stray fraction.

The summary strip totals each account type. **Equity** includes a **Net Income** line for the current year so Assets equal Liabilities plus Equity; if they do not, the strip reads **out of balance by** the difference.

## Reports

Open **Reports** on the Chart of Accounts screen. The statement is built from journal lines on the server — nothing is summed in the browser — and grouped by your account structure and active dimensions.

**1. Choose the statement**

| Control | Options |
| - | - |
| **Statement type** | **Trial Balance**, **Balance Sheet**, **Profit & Loss**, or **Cash Flow** |
| **View** | **Period Total** on every statement. **Quarterly** and **Trailing** on the Balance Sheet and Profit & Loss. **Trailing** on Cash Flow. The trial balance stays a period total. |
| **From** / **To** | Date range. On a Balance Sheet, **Period Total** is the balance as of **To**. **Trailing** adds a column per month in the range, and **Quarterly** adds a column per quarter. Profit & Loss **Period Total** is activity in the range. |

The report re-runs a moment after each change.

**2. Choose ledgers and zeros**

Open **Ledgers & display**. Check the ledger codes to include (for example, actual and budget). Set **Ledger basis** to **Posted only** or **Posted + Unposted** to preview drafts. Switch **Show zero balances** on to include accounts with no activity in the range.

**3. Filter and group**

**Refine data** limits the report to segment and dimension values, side by side. **Include inactive segment values** keeps retired codes in the filter lists. **Columns & grouping** checks the segments and dimensions that become groups on the statement.

**4. Read the summary**

Each statement has its own strip: debits, credits, and the difference on the Trial Balance; assets, liabilities, and equity on the Balance Sheet; revenue, cost of goods, gross profit, expenses, and net income on the Profit & Loss. A **Ledger is out of balance** alert appears when debits and credits do not agree. An **Out of balance** alert appears when assets do not equal liabilities plus equity.

The Balance Sheet adds a calculated **Current Year Earnings** line (and **Retained Earnings** for prior years) so equity ties without a manual closing entry. Profit & Loss cutoffs follow your [fiscal calendar](https://www.adorabl.info/books/setup/fiscal-calendar.md).

### Cash Flow statement

**Cash Flow** is an indirect statement: net income, non-cash adjustments, changes in working capital, then investing and financing, tied from beginning cash to ending cash. Sections are **Operating Activities**, **Investing Activities**, **Financing Activities**, and **Supplemental Disclosures**.

This is not the [Cash Flow](https://www.adorabl.info/banking/cash-flow.md) calendar. The calendar plans bills and invoices by day. This statement explains the change in cash on the ledger.

Click **Cash Flow Mappings** to classify each balance sheet account. adorabl suggests a category — **Operating Activities**, **Investing Activities**, **Financing Activities**, **Cash & Cash Equivalents**, **Non-Cash Adjustment (P\&L)**, or **Excluded** — and you can override it. Apply the mappings to save them and refresh the statement. **Restore defaults** puts the suggestions back in the editor until you apply them.

The statement must tie. If computed ending cash does not equal the cash balance on the general ledger, an alert names the difference. adorabl does not force the statement to balance. Unmapped balance sheet accounts with activity are listed in the same alert; classify them in **Cash Flow Mappings**. A retained-earnings note appears when the change in retained earnings does not equal net income minus distributions.

## Account type ranges

adorabl infers **Type** from the GL Account number:

| Range | Type |
| - | - |
| 1000–1999 | Asset |
| 2000–2999 | Liability |
| 3000–3999 | Equity |
| 4000–4999 | Revenue |
| 5000–5999 | Cost of Goods |
| 6000–7999 | Expenses |
| 8000–8999 | Revenue |
| 9000–9999 | Expenses |

Use these ranges when you add new GL Accounts on [Segments](https://www.adorabl.info/books/setup/chart-of-accounts-setup.md) so the type classification stays consistent.

## Open a consolidated GL Account

Click a row to open the **Consolidated GL Account** page. It shows:

* The GL Account code and name in the header.
* **Full accounts** — how many dimension variants exist for this GL Account.
* **Consolidated balance** — the sum of every variant's balance.
* A table of every full account code (GL Account plus dimension segments) with its individual balance.

Use this view when you need to see how a single GL Account splits across cost centers, regions, or other dimensions without leaving the account context.

## Review account transactions

The consolidated GL Account page has a **Transactions** tab that lists the posted journal entry lines hitting the account, with a running balance.

| Control | Behavior |
| - | - |
| **Date range** | Defaults to the trailing 90 days; widen it to see earlier activity |
| **Search** | Filter lines by text |
| **Opening / closing balance** | Shown for the selected range; the running balance is computed in chronological order |
| **Full account** | Appears when the GL Account has more than one dimension variant, so you can tell which full code a line hit |

Lines display newest-first, and clicking a row opens the source [journal entry](https://www.adorabl.info/books/journal-entries.md). The tab is read-only — it reflects posted activity and never edits it.
