# Journal entries

> Post, review, and reverse general ledger entries — including reversals surfaced from AR and AP documents.

Journal entries are the source of truth for every posting adorabl makes to the general ledger. This page covers how source journal entries surface on transaction detail screens and how reversals flow through the ledger.

## Journal entry list

The **Journal entries** list weaves imported historical entries alongside live posted entries when your organization migrated legacy GL data. Historical rows open read-only archive detail; live entries open the standard journal entry screen.

Use status and date filters to narrow the list. Account register **Transactions** tabs apply the same weave for posted lines tied to each GL account.

Draft entries display as **Draft journal entry** — the entry code is assigned when the entry posts, so abandoned drafts never consume a number. Delete a draft from the list; adorabl confirms the result with a toast. Posted entries cannot be deleted; reverse them instead.

### What posting checks

Before an entry posts, adorabl confirms that:

* Debits equal credits.
* Every line's GL Account, segments, and dimensions resolve to a valid combination.
* Every dimension marked **Required** in [Dimensions](https://www.adorabl.info/books/setup/dimensions.md) has a value on every line in scope.
* The entry date falls in an **Open** period on the [fiscal calendar](https://www.adorabl.info/books/setup/fiscal-calendar.md).

The same checks apply to entries generated by bills, invoices, payments, shipments, and inventory transactions. A required dimension is enforced only where that dimension applies to the account. An offset line, such as accounts payable control, does not fail posting because a dimension scoped to expense accounts is blank there. See [Dimensions](https://www.adorabl.info/books/setup/dimensions.md).

## Segmented postings

When a bill, invoice, credit memo, debit memo, or payment carries different segments or dimensions on its lines, the journal entry keeps those assignments. Lines that share the same account, side, segments, and dimensions are combined into one journal line. The accounts payable, accounts receivable, or cash offset is split across those same combinations, in proportion to the lines, so a report by department or location still balances. Tax on a credit memo is spread the same way.

The journal preview on the document uses that split before you post.

## Duplicate a journal entry

Use **Duplicate** when a prior entry is a useful starting point but does not need a recurring schedule.

**1. Choose the source entry**

Open a live journal entry and click **Duplicate** in the header. You can also use the copy action on a live row in the Journal entries list.

Imported historical entries cannot be duplicated.

**2. Review the new draft**

adorabl creates a new manual draft with a new entry number and today's date. It copies the lines, accounts, amounts, memo, reference text, and auto-reverse setting.

**3. Save or post**

Edit the draft as needed, then click **Save as draft** or **Post**. The original entry remains unchanged.

The duplicate does not copy source-document links, reversal relationships, or superseded-entry identity. A duplicate of an entry originally created from an invoice or bill becomes a manual journal entry.

## Source journal entries panel

Every posted document — invoices, bills, payments, credit memos, adjustments — carries a **Source journal entries** panel on its detail screen. The panel lists each journal entry generated from that document so you can trace the GL impact without leaving the record.

| Column | Purpose |
| - | - |
| **JE #** | Journal entry code. Click to open the full entry. Reversal entries are tagged `(reversal)`. |
| **Reference** | The source document identifier stored on the entry — for example, the invoice number, payment number, or credit memo number that produced the posting |
| **Date** | Posting date of the journal entry |
| **Status** | Draft, Posted, or Reversed |
| **Total** | Total debit amount for the entry |

> [!TIP]
>
> Use the **Reference** column to confirm at a glance which document produced each entry — handy when a record has both an original posting and one or more reversals.

## Reversals

A reversal is a journal entry that offsets a prior posting. adorabl creates reversals automatically when you:

* **Void an incoming payment** — see [Void a payment](https://www.adorabl.info/accounts-receivable/incoming-payments.md#void-a-payment)
* **Void an outgoing payment** — see [Outgoing payments](https://www.adorabl.info/accounts-payable/outgoing-payments.md)
* **Reverse an AP bill** — see [Bills and adjustments](https://www.adorabl.info/accounts-payable/bills-and-adjustments.md)
* **Credit an AR invoice in full** — see [Invoices and adjustments](https://www.adorabl.info/accounts-receivable/invoices-and-adjustments.md)
* **Credit an AP bill in full** — see [Bills and adjustments](https://www.adorabl.info/accounts-payable/bills-and-adjustments.md#create-a-credit-or-debit-memo)

When a reversal posts:

* The reversal entry appears in **Source journal entries** on the original document with a `(reversal)` marker on the JE #.
* The original entry and the reversal both link back to the source document through the **Reference** column.
* Related documents (applied invoices, matched bills) have their balances restored.

### Reversal posting date

For payment voids, you choose the posting date at the time of the reversal:

| Option | When to use |
| - | - |
| **Today** | The original period is closed and the reversal must land in the current open period |
| **Original date** | Same-period correction — the original and reversal net to zero on the original posting date |
| **Custom date** | Backdate or forward-date the reversal to a specific open period |

The chosen date becomes the posting date of the reversal journal entry and controls which period the offset lands in.

## Relationship map

The **Relationship map** on any AR invoice, AR payment, AP bill, or AP payment shows the journal entries connected to that document, including:

* The original **posting journal entry**
* Any **reversal journal entry** created by a void or full credit
* The journal entries for **related invoices or bills** the document was applied to

Use the map to trace a payment back to the invoices it settled and forward to any reversal that offset it.
