# Email sending

> Set up your outbound sending domain, From name, and Reply-To for transactional email.

adorabl sends transactional email — purchase orders, remittance advice, bill approval requests, and Positive Pay exception alerts — from a verified sending identity created for your organization.

> [!NOTE]
>
> Provisioning is automatic. When you first open an organization, adorabl creates the sending subdomain and writes DNS records in the background. You only need to confirm verification and set a From name and Reply-To address.

## Prerequisites

* An active organization. See [Quickstart](https://www.adorabl.info/getting-started/quickstart.md).
* Admin access to open **Settings** → **Finance**.
* A monitored reply address (for example, `accounting@your-company.com`) that can receive supplier replies.

## Open email sending

**1. Go to Finance setup**

1. In the sidebar, open **Data & Admin** → **Settings**.
2. Click **Finance**.

**2. Open Email sending**

Under **AR and AP automation**, click **Email sending**.

adorabl opens the **Email sending** page under Finance setup.

## What you configure

The page has three sections.

### Sending identity

Shows the verification status and the address adorabl uses for your organization's messages.

| Status | Meaning |
| - | - |
| **Not started** | Provisioning has not begun yet. Reload the page to trigger it. |
| **Pending verification** | adorabl created the subdomain and wrote DNS records. Verification usually completes within a few minutes. |
| **Verified** | DKIM, SPF, and MX records are live. adorabl will send transactional email for this organization. |
| **Temporary failure** | Verification could not complete. Click **Check now** to retry. |
| **Failed** | Verification failed after multiple attempts. Click **Re-provision** to create the sending identity again. |

Use the action buttons on this section:

* **Check now** — re-runs verification against your DNS records.
* **Re-provision** — recreates the sending subdomain if verification fails.

> [!WARNING]
>
> adorabl will not send transactional email until the sending identity shows **Verified**. Messages triggered before verification are skipped silently.

### From and Reply-To

| Field | Purpose |
| - | - |
| **From display name** | Name recipients see in their inbox (for example, `Trail Ridge Outfitters`). Leave blank to use the organization name. |
| **Reply-To email** | Address that receives replies. Also the destination for internal notifications like approval requests and exception alerts. |

> [!TIP]
>
> Set **Reply-To** to a shared AP inbox rather than an individual's email. Supplier replies to purchase orders and remittance advice land here.

Click **Save** after editing either field. Discard reverts to the last saved values.

## What triggers a transactional email

Once your sending identity is verified, adorabl sends email automatically for these events:

| Event | Recipient | Template |
| - | - | - |
| Purchase order saved with a supplier email on file | Supplier | Purchase order |
| AP payment posted with a supplier email on file | Supplier | Remittance advice |
| Bill submitted for approval | Reply-To address | Approval request |
| Urgent Positive Pay exception raised | Reply-To address | Exception alert |

If a supplier record has no email address, the message is skipped and no error surfaces on the transaction. Add an email on the supplier's default address to enable sending. See [Suppliers](https://www.adorabl.info/accounts-payable/suppliers.md).

## Troubleshooting

> **Verification is stuck on Pending**
>
> DNS propagation typically completes within 5 minutes. Click **Check now** on the sending identity section. If the status has not moved after 30 minutes, click **Re-provision**.

> **Supplier says they did not receive a purchase order**
>
> Confirm the supplier's default address has an email in [Suppliers](https://www.adorabl.info/accounts-payable/suppliers.md). adorabl skips the send when no address is on file. Also confirm the sending identity shows **Verified**.

> **Replies are going to the wrong address**
>
> Update **Reply-To email** on this page. New messages use the updated address immediately; already-sent messages keep the address they were sent with.

> **I don't see Email sending on the Finance setup checklist**
>
> Confirm you're on the Finance area (not Accounts Payable or Accounts Receivable). Email sending appears under **AR and AP automation**.
