# Stock on hand

> View inventory levels and stock by warehouse.

**Stock on hand** shows Trail Ridge Outfitters' live quantities — every **item × warehouse** pair computed from immutable inventory transactions. Use it to spot oversold SKUs, filter by location, and receive or adjust stock without opening each item record.

## Prerequisites

* At least one **active warehouse**. See [Warehouses](https://www.adorabl.info/products/warehouses.md).
* At least one **Stock** item with **Postable** GL setup. See [Items](https://www.adorabl.info/products/items.md).

## Open Stock on hand

**1. Navigate**

1. In the sidebar, open **Inventory**.
2. Click **Stock on hand**.

## Quantities table

Each row is one item at one warehouse:

| Column | Meaning |
| - | - |
| **SKU** | Item code — links to the item record |
| **Item** | Display name |
| **Warehouse** | Location holding the quantity |
| **On hand** | Quantity at this warehouse in the item's base unit — **red** with an **Oversold** badge when negative. When the item uses multiple units, a secondary line shows the equivalent in purchase and sales units |
| **Committed** | Quantity already committed to fulfillment |
| **Inbound** | Quantity still open on purchase orders. The number links to those purchase orders |
| **Item total** | Sum of on hand across all warehouses for that SKU |

Quantities are always derived from posted inventory transactions — not editable inline. adorabl stores quantities in the item's base unit and restates them in configured purchase and sales units for display only.

Search filters by SKU, item name, or warehouse. Use the warehouse dropdown in the attention band to limit rows to one location.

## On hand by unit (item detail)

On each item record, the **Stock** tab includes an **On hand by unit** panel when the item has purchase or sales units configured. The panel lists every relevant unit with its conversion factor and restated on-hand quantity — useful when buyers think in cases and warehouse staff count in eaches.

## Stat tiles

Click tiles to filter the table:

| Tile | Filter |
| - | - |
| **Oversold / negative** | Rows where on-hand is below zero |
| **Low stock (≤5)** | Rows at or below five units but not negative |
| **Item × warehouse** | Total row count (informational) |
| **Stock items** | Count of active stock SKUs (informational) |

> [!TIP]
>
> Start Monday inventory review with **Oversold / negative** — fix data entry or fulfillment timing before accepting new orders.

## Receive stock

Click **Receive stock** in the header (or on an item record) to increase on-hand.

**1. Receive**

1. Select the **item** (stock items only).
2. Select the **warehouse** — defaults to the org **Receiving** default.
3. Enter **quantity** and optional reference (PO number, notes).
4. Confirm **Receive**.

Receiving creates an immutable **receive** transaction. On-hand updates immediately on this screen and on the item **Stock** tab.

Use receives for PO receipts, ad-hoc inbound, and opening balances at go-live.

## Adjust stock

Click **Adjust stock** to correct a single quantity without a purchase or shipment — damage, shrink, or data fixes. To count a whole warehouse or aisle and post every variance together, use [Inventory counts](https://www.adorabl.info/products/inventory-counts.md).

**1. Adjust**

1. Select **item** and **warehouse**.
2. Enter the **adjustment quantity** — positive to add, negative to remove.
3. Choose a **reason** and add notes if needed.
4. Confirm **Adjust**.

Adjustments post as inventory transactions and appear in the item's transaction history.

> [!WARNING]
>
> Adjustments affect GL inventory balances when the item is postable. Prefer a receive linked to a PO when the change represents a purchase.

## Example: Trail Ridge Outfitters

After a busy weekend, Trail Ridge opens **Stock on hand**:

| SKU | Warehouse | On hand | Item total |
| - | - | - | - |
| `AP-3300-NV` | Denver DC | 142 | 170 |
| `AP-3300-NV` | Shopify 3PL (Reno) | 28 | 170 |
| `HD-7700` | Denver DC | **−3** | **−3** |

1. They click **Oversold / negative** — one row: Headlamp Pro at Denver DC.
2. Investigation shows a duplicate shipment. They **Adjust stock** by **+3** with reason **Data correction** after reversing the duplicate on the sales side.
3. A PO of Bevel bottles arrives — **Receive stock** for `BV-1042-BLK`, qty **144**, warehouse **Denver DC**, reference PO-8842.

Item totals on the **Items** list update automatically from the same transaction ledger.

## Troubleshooting

> **On hand does not match the warehouse floor**
>
> Quantities come from transactions only. Run an [inventory count](https://www.adorabl.info/products/inventory-counts.md) to reconcile a warehouse, **Adjust stock** for a single item, or **Receive stock** if product arrived without a recorded receipt.

> **Negative on hand**
>
> Usually a shipment posted before receive, or overselling on a channel. Filter **Oversold / negative**, trace recent transactions on the item **Stock** tab, then receive or adjust.

> **Item missing from the list**
>
> Only **Stock** items with activity at a warehouse appear. Confirm the item type is **Stock** and you have at least one receive or opening transaction.

> **Receive blocked or GL warning**
>
> The item may be **Not postable** — resolve GL accounts and standard cost on [Items](https://www.adorabl.info/products/items.md) before receiving valued inventory.
