When numbers are assigned
adorabl assigns a number when a transaction leaves draft — when you post a bill, invoice, payment, receipt, or journal entry, submit a sales or purchase order, authorize a return, or confirm a landed cost allocation. Until then the record displays a friendly placeholder such as Draft invoice or Draft return in lists, headers, and search. This means:- Abandoned drafts never consume a number, so sequences have no gaps from drafts.
- A posted transaction never returns to draft, so a number is never reused.
- Journal entries created by posting a bill or invoice pick up the final transaction number in their reference once the draft placeholder is replaced.
COUNT- number as soon as it is created, because counters need to refer to the sheet while it is still open.
adorabl seeds every organization with these sequences, among others:
Example: Trail Ridge Outfitters
A clerk saves three draft bills and deletes two of them. Only the bill that posts becomes BILL-8843; the next number is still
BILL-8844.

Expected. The number is assigned when the record posts or is submitted. Save as Draft keeps the placeholder.
