What Accounts Payable covers
Setup checklists live under Payables setup.
Typical workflow
1
Onboard suppliers
Create supplier master data, W-9, and payment terms. See Suppliers.
2
Capture and post bills
Enter bills manually or verify automation-captured drafts, then post to AP. See Bills & adjustments.
3
Pay suppliers
Record outgoing payments and apply to open bills. See Outgoing payments.
4
Reconcile and close
Match bank outflows on Bank reconciliation; run Form 1099 report after year-end.
Purchase orders and receipts live under Purchasing, not Accounts Payable. See Purchasing overview when inventory is involved.
Example: Trail Ridge Outfitters
Trail Ridge runs AP on a weekly rhythm tied to their $2.0M cash floor on Cash flow:
Year-end: 1099 report flags Acme Logistics until W-9 arrives, then CSV export goes to their CPA.
