The 1099 year-end report summarizes calendar-year cash payments to suppliers and determines who needs a 1099-NEC — and who still has blocking data gaps before you file.

Prerequisites

Before you run the report:
  • Suppliers have tax profiles with 1099 required flags set correctly.
  • W-9 and TIN data are on file for eligible payees.
  • Outgoing payments are Succeeded with payment dates in the selected tax year. See Outgoing payments.
  • IRS NEC threshold is configured for the tax year in irs_1099_thresholds.

Open the report

1

Navigate to the 1099 report

  1. In the sidebar, open Accounts Payable.
  2. Click Suppliers.
  3. Open 1099 year-end report from the Suppliers area, or go directly from Payables setup → 1099 year-end report.
The page title is 1099 year-end report with subtitle explaining calendar-year cash payments.
2

Choose the Tax year from the dropdown.adorabl shows the payment window (Jan 1–Dec 31) and the NEC threshold for that year when configuration exists.
3

Review summary tiles

Three stat tiles summarize the run:

Report buckets

adorabl groups suppliers into collapsible buckets: Expand Below threshold & exempt for secondary rows. Each supplier row shows masked TIN, tax classification, qualifying payment total, and W-9 status.

Resolve needs-attention suppliers

1

Open the supplier from the report

Click a supplier row in Needs attention to open their record (or search on Suppliers).
2

Fix tax profile gaps

On Details → Tax profile:
  • Upload or request a W-9
  • Enter TIN and tax classification
  • Confirm 1099 required matches IRS rules for the entity type
3

Refresh the report

Return to the 1099 report and confirm the supplier moves to 1099 required or Exempt as appropriate.
Clean up duplicate suppliers in Master data before year-end — merged records combine YTD payments onto the surviving supplier number.

Export for filing

1

Export CSV

When the report status is OK, click Export CSV.adorabl downloads 1099-report-{year}.csv with supplier rows, masked TINs, classifications, and qualifying payment totals for import into your filing tool or accountant workflow.
adorabl prepares determination and export data — it does not e-file directly with the IRS today. Use your approved filing provider for submission.

Example: Trail Ridge Outfitters

Trail Ridge runs the 2025 report in January 2026: After Acme’s W-9 arrives, Trail Ridge refreshes the report — Acme moves to 1099 required. They export CSV and send to their CPA for NEC filing before the Jan 31 deadline.

Troubleshooting

Add a row to irs_1099_thresholds for the selected tax year before running the report. Contact your administrator if the warning persists.
The supplier had no Succeeded outgoing payments in the tax year, or payments fall outside Jan 1–Dec 31 by payment date — not bill date.
Confirm payment status is Succeeded. Voided or failed payments are excluded. Check for duplicate supplier records that split payments across two names.
Export requires report status OK. Resolve threshold configuration errors or loading failures first.
Expected — exports use masked TIN for security. Full TIN is available on the supplier tax profile for authorized users preparing filings.
Direct IRS e-file and printable 1099 forms are planned. Export CSV to your filing provider until this ships.
