Connect QuickBooks to bring a company into adorabl: the chart of accounts, suppliers, open documents, and history. Customers, items, and sales orders are optional, so a commerce platform can keep owning those records.
QuickBooks Online appears under Settings → Data & Admin → Integrations when it is enabled for your sign-in. The setup hub shows to do, connected, or needs reconnect.

Connect QuickBooks

1

Open QuickBooks Online

  1. Open Settings from Data & Admin.
  2. Click Data & Admin.
  3. Under Integrations, click QuickBooks Online.
The page subtitle is Import your chart of accounts, suppliers, open documents and history from QuickBooks.
2

Choose what else to import

Leave Import customers, items and sales orders from QuickBooks off when those records already come from your commerce platform. Turn it on when QuickBooks is the source for customers, items, and sales orders.
3

Authorize

Click Connect QuickBooks and finish signing in at Intuit. When the connection succeeds, the Connection card shows Connected and the first import starts. If the first import does not start, click Sync now.
A connection that Intuit has stopped accepting shows Needs reconnect. Click Reconnect QuickBooks and sign in to the same company.

What a sync brings in

Every sync can load payment terms, payment methods, the chart of accounts, suppliers, purchase orders, invoices, credit memos, bills, and supplier credits. Opening inventory is included when items are part of the import. Customers, items, and sales orders load only when you turned that option on before connecting. You can change field mapping for customers, suppliers, and items. Accounts, payment terms, and documents follow adorabl’s built-in mapping. Open documents land on the operational screens. Documents QuickBooks has closed can move to history. A later sync updates a record adorabl has not edited. A record your team edited in adorabl is left as it is and shows as skipped.

Sync again

Latest sync shows the run in progress, or the last finished totals: Loaded, Updated, and Needing attention. Click View run to open that sync. Recent runs lists earlier syncs with Started, Status, Trigger, and Summary. Status is Running, Succeeded, Partial, or Failed. Trigger is First import or Sync now. Click a row to open the run. Sync now starts another import. It stays off while a sync is Running. Disconnect removes the connection.

Field mapping

Click Field mapping on the QuickBooks page. The table lists each adorabl field for customers, suppliers, and items. For each row you can:
  • Turn Sync on or off. A required field stays on.
  • Choose the QuickBooks field that fills the value, when more than one source exists.
  • Read Transform for how the value is derived. That text is not editable.
Save keeps your overrides. Reset to defaults clears them. An overridden row shows Overridden. Changes apply on the next sync, to every customer, supplier, or item. Records edited in adorabl stay protected. Customer rows include name, email, phone, status, payment terms, payment method, billing and shipping addresses, and contact. Supplier rows include name, email, phone, payment terms, address, and contact. Item rows include SKU, name, description, sales price, standard cost, item type, status, revenue, cost of goods sold, inventory account, and preferred supplier.

Read a sync run

QuickBooks sync run is one import. The header states the outcome, such as everything imported, some data that did not import, or a sync that stopped. It also shows when the run started, whether it was the First import or Sync now, and how long it took.

Records

Records splits the run into tabs. Each tab shows a count. A row can show Open in adorabl and Open in QuickBooks. Reason or What happened explains a skip, a rejection, or a move to history.

Steps

Steps lists each part of the import — connection, chart of accounts, suppliers, documents, and the rest — with Fetched, Loaded, Updated, Unchanged, and Rejected. Step status is Pending, Running, Done, or Failed.

What you see on a record

A record created or updated by a sync shows QuickBooks Import on Activity, for example QuickBooks Import created customer. The same area can show QuickBooks with Open in QuickBooks and View sync run. A history document can show From QuickBooks with Closed in QuickBooks or First synced, and the same link to the run.

Example: Trail Ridge Outfitters

Trail Ridge is leaving QuickBooks and already sells on Shopify, so customers and items should stay with Shopify.
  1. On QuickBooks Online, they leave Import customers, items and sales orders from QuickBooks off.
  2. They click Connect QuickBooks and authorize the Trail Ridge company.
  3. Latest sync finishes Succeeded. The chart of accounts, suppliers, and open bills are in adorabl. Shopify customers and items are untouched.
  4. On Field mapping, they point supplier Payment terms at the QuickBooks terms field they actually use, click Save, and click Sync now.

Master data

CSV import for chart of accounts, parties, items, and opening balances.

Chart of accounts

Review the accounts a sync created.

Audit log

Read QuickBooks Import on a record’s Activity tab.

Connect Shopify

Keep commerce records on Shopify instead of importing them from QuickBooks.

Troubleshooting

The integration is enabled per sign-in. If Integrations does not list QuickBooks Online, that sign-in does not have it yet. Search also hides QuickBooks Online in that case.
Intuit stopped accepting the connection. Click Reconnect QuickBooks and authorize the same company. Existing imported records stay in adorabl.
Open the run and select Needs attention. Reason names what blocked that record. Fix the source in QuickBooks or the related setup in adorabl, then click Sync now.
That is expected. A customer, supplier, or item edited in adorabl is skipped so the sync does not overwrite your change. The run lists it under Skipped.
Connect QuickBooks first. The mapping page asks you to connect, with Go to the QuickBooks page.
