Collections in adorabl combines overdue invoice visibility, automated dunning reminders, and pay links so you can recover cash without leaving the ERP platform. There is no separate collections queue screen today — you work from invoice and customer records plus dunning configuration.

Prerequisites

Before collections run effectively:
  • Invoices are posted with correct due dates.
  • Customers have a valid email on their record. See Customers.
  • Dunning rules are configured and enabled.
  • Optional: Online pay links are enabled for your organization.

How dunning works

adorabl runs a daily dunning job (workflow) that evaluates open overdue invoices, respects pause flags, and sends each step at most once per invoice.

Configure dunning rules

1

Open dunning setup

  1. Open Data & Admin → Settings (or the Finance setup gear).
  2. Navigate to Dunning reminders — path: /setup/finance/dunning.
You can also reach this from Receivables setup → Dunning / collections cadence.
2

Define reminder steps

For each step, set:Steps run in order. Step 2 does not send until step 1 has fired (when offsets are sequential).
3

Enable and save

Toggle Enabled on, click Save rule, and confirm the rule appears in Receivables setup as configured.

Work overdue invoices

1

Find overdue invoices

  1. Open Invoices & Adjustments.
  2. Sort or filter by Due date and Status (Open, Partial).
  3. Check the dashboard Open AR KPI for overdue count and dunning-active flag.
Payment prediction hints on the invoice list highlight invoices likely to pay soon versus those needing outreach.
2

Review dunning on an invoice

Open an overdue invoice and scroll to the Dunning panel:
  • Sent steps with timestamps
  • Pay link URL when generated
  • Pause dunning toggle for disputes or payment plans
3

Pause at customer level (optional)

For account-wide holds, open the customer record and enable Pause dunning. All invoices for that customer are skipped until you turn it off.
4

Collect payment

Send the customer a pay link from the invoice, or record receipt in Incoming payments. When balance due reaches zero, dunning stops automatically.

Example: Trail Ridge Outfitters

Trail Ridge configures Default cadence: Invoice INV-1039 to Aspen Sports Co. ($2,140.00) due February 15:
  • February 18 — step 1 email with pay link
  • March 1 — step 2 email
  • March 17 — step 3 final notice
Aspen pays on March 20. Trail Ridge records incoming payment PMT-2198; invoice status → Paid; no further steps send. For a goodwill dispute on INV-1022, collections pauses dunning on that invoice only while customer service resolves the case.

Dashboard signals

The Dashboard Open AR card shows:
  • Total open balance
  • Overdue invoice count
  • Dunning active when at least one enabled rule exists
Use this as your daily collections pulse before drilling into individual invoices.

Troubleshooting

Confirm the dunning rule is enabled, the invoice is open with balance due, due date is in the past, and neither the invoice nor customer has Pause dunning on. Verify the customer email is populated.
The daily job is idempotent per invoice step — duplicates usually mean two rules matched or manual testing re-ran the job. Check Dunning log on the invoice for step indices.
Additional channels are on the roadmap. Today all configured steps use email; update template keys to match your mail provider integration when available.
Historical log entries remain for audit. Status on the invoice header reflects current balance — no new steps send after payment posts.
A filtered collections queue (by aging bucket and owner) is planned. Until then, use Invoices & Adjustments filters and dashboard Open AR metrics as your worklist.
